Small charity change of address

Admin

Amy O'Shea Trustee at ADHD Action Posted 5 years ago

Firstly, I hope everyone is safe & well. Whilst my question below won't be the most pressing at the moment, I'd really appreciate any input to guide us in the right direction.
As we're a small charity, our current registered address is also one of our team members homes, however, this now needs changing as they have just made the deadline to move homes.
We've considered formations services but know these are likely to be closed with the current circumstances. We may have to temporarily settle on another team members address but would prefer a long-term option to avoid confusion.
Has anyone else found themselves in a similar situation or able to offer general advice?
Thanks in advance,

Hi there, I just found this useful thread and wondered if anyone has any further info on this topic? Namely, does the charity commission accept a PO box as a charity's official address? I'm keen to do this as our current registered address is also one of our team members homes, but as we sometimes support victims of domestic abuse we are concerned about team safety. Thanks!

Hi, being a small charity normally you secretary would be the registered address however, if you have a partnership with a larger established organisation then see if that could be used I.e library, community centre? Are you registered charity? You would have had to provide personal addresses as trustees anyway.
I hope this helps.

Tracey Gould   Hi Tracey, thanks for your guidance. Yes, we're a registered charity & we've provided personal addresses for all Trustees.

We use ukpostbox which is a service that gives you a physical address, but then notifies you when you have mail, and then forwards it to you.  We have it set up with 3 addresses (Director/Treasurer/Fund Raising) so that the mail can be forwarded to the right person.  Have a look at ukpostbox.com.

Hi there. You can use a PO BOX but this does cause difficulty with HMRC and Charity Commission! We did it for a while but things take a lot longer, and also, donors and supporters are not keen on not seeing a physical address. We are now using a "virtual address", which is a full postal address, and collecting mail from them regularly (not during lock down of course).
Try to get one that is either near your last one (same county at least) or more convenient for whoever will be dealing with them. These places also offer to send your mail on, so you don't need to be physically close, maybe just logically so!
Hope that helps!

Julie Sheppard   Thank you Julie, that's really helpful to hear your experience with PO Box as an option.

An excellent and much more professional-looking option is to use a PO Box address. Behind the scenes, you can then get the Post Office to deliver mail to wherever you wish, so if Trustees change then you don't need to change stationery, registered address, website, etc etc etc  ... all done for you effectively. It's well worth the money. It'll look like this:
PO Box XXXX
Town
Postcode

Amy O'Shea   AH ... I obviously stand corrected! The two examples I had in mind are both medical charities ... for example see http://apps.charitycommission.gov.uk/Showcharity/RegisterOfCharities/ContactAndTrustees.aspx?RegisteredCharityNumber=1153851&SubsidiaryNumber=0). I seem to recall in my time at Retina UK (a few years ago) there was a desire to hide the address because of animal rights activists, with the charity funding research; perhaps that was deemed an adequate rationale at the time.
