Hello, Whilst updating our Data Protection Policy, a question was raised about competitions. We recently held a competition (talent-not money) and although we  asked for permissions to share entrants/winners names and art work, we did not specify how long we would retain information. There is mixed messaging/advice on this on google! Your help would be hugely appreciated.

The very simple and superficial answer is that you can keep personal data for as long as the purpose for which you collected it subsists and you have a legal basis for retaining it. The purpose here was to run a competition and presumably then display the entries for a period of time. What that means in practice is that you need to have an ongoing legitimate reason for retaining the data and the data subject may assert their right to ask you to delete their data. You couldn't simply add entrants' details to your supporter database, because you got those details for a different purpose.
It might be best to contact the individuals to say that you would like to keep their details on record (along with the artwork) for a specified period of time, if you actually have a reason for doing so. But having asked for consent, if you don't get it or get a reply, you should delete the data.
