Moving documents from a client to the office - Consent or Legitimate Interest?

Governance

Kellie Rickell Systems and Compliance Lead at Age UK Lambeth Posted 1 year ago

Hello everyone,
I wonder if you can help. I am debating whether when a team member takes a document from a client to the office (to scan) and then give them back the same or next day, do we need to gain informed consent from the client? These are documents such utility bills, bank statements to apply for benefits on behalf of the client.
I wonder if we need to record informed consent, or whether this could come under legitimate interest as its for the benefit of the client and they will have discussed the purpose of them taking the documents to scan and return.
I am concerned with what happens if the team member loses the document in transit.
What do you think?
