Problems with Visitors using Projector in our Village Hall

Hi
I am a new member and was very pleased to discover your site to ask questions that are niche to organisations like our Village Halland so not everyone understands them.
Could someone recommend an easy wireless method that our VH users can use to connect their iPads and laptops to our permanently ceiling-mounted projector? The projector is a BenQ W2000/W2000+ Digital Projector.
The problem is that visitors bring in their device, and they can't connect it. I then get dragged in to sort it out. This is something I would like to avoid.
People never know their own devices and quirks to connect to a projector. I wondered if any Village Halls had cracked this with a streaming device that automatically connects to any device without hassle?
I realise there are many different parameters with each device a visitor wants to connect with, and so this is not an easy solution.

I am hoping there is a solution someone, somewhere, is using that eliminates customer problems.
